Pre-Mobilisation

Before any field activity begins, UA-5 confirms the full scope of the instruction with the client. This stage covers:

  • Survey boundaries, circuit maps or site location lists confirmed and acknowledged
  • Data formats, submission methods and reporting requirements agreed
  • Digital mapping layers established and control datasets loaded
  • All required inductions, safety briefings and programme-specific certifications completed
  • Surveyors briefed on area-specific hazards, access constraints and safety protocols
  • Delivery schedule, escalation contacts and exception protocols confirmed with the client

The expectation is that every surveyor arrives on site with a complete understanding of the scope, the standards required and the reporting process in place before data collection begins.

Field Survey

All field data is captured using GPS-enabled tablets, eliminating manual paperwork and ensuring spatial accuracy from point of capture. Depending on the service, our surveyors record:

  • Vegetation species, condition, proximity and growth characteristics
  • Risk ratings and recommended management actions
  • Photographic evidence at each assessed location
  • Access constraints, site conditions and any anomalous findings
  • Landowner consent records where required, completed at point of survey

Safety-critical findings are escalated to the client contact within 24 hours. All field activity is conducted in strict compliance with the relevant safety rules and site-specific protocols.

Data Validation & QA

Before any data leaves UA-5, it is subject to a two-stage quality assurance process:

  • Automated validation checks for data completeness, spatial consistency and format compliance
  • Manual review of high-risk, anomalous or escalated locations
  • Cross-reference against client specification prior to submission
  • Consent record verification where applicable

This stage ensures that what the client receives is accurate, complete and immediately actionable — without the need for re-work or clarification requests.

Reporting & Delivery

Data is delivered in the agreed format — whether Excel, GIS layers, portal upload or PDF — with supporting documentation as required. Our reporting process includes:

  • Weekly progress reports by area, block or route as applicable
  • Clearance priority reports and encroachment summaries where required
  • Exception and escalation logs maintained throughout the programme
  • Final QA-cleared dataset on programme or area completion
  • Full audit trail maintained for all collected data, consents and notifications
